Digital Asset Management Case Study - Sara Lee
Sara Lee uses Worktribe for digital asset management across pan-European teams. It has reduced time to market for its leading brands and significantly reduced production costs in the process.
Digital Asset Libraries
Sara Lee maintains central digital asset libraries with brand materials for easy reference by approved internal and external teams. Centralising brand assets and adopting versioning ensures that all parties have instant access to the current approved brand collateral.
Project Workspace
Worktribe provides a workspace for each project, with areas for briefs, timing plans, pack copy and master artwork. All documents are automatically versioned, with comments automatically added to the audit trail.
Translations and Local Variations
Sara Lee uses Worktribe to manage translations and local artwork and pack copy variations in Czech, Dutch, French, German, Greek, Hungarian, Italian, Polish, Portuguese, Romanian and Slovenian.
Artwork Review Process
Sara Lee uses Worktribe to manage its artwork review process. Agencies upload PDF artwork to Worktribe where internal teams use the built-in document annotator to gather feedback, with reviewers placing comments directly at the point in the page to which they relate. Documents are maintained centrally eliminating versioning issues. All comments are collated chronologically so reviewers can see comments left by previous reviewers, preventing duplication. When all comments have been collected, the artwork studio prints the annotated document from Worktribe with a complete list of comments and markers indicating the pages to which they relate for easy review.
Signoff Process
Sara Lee follows a strict signoff procedure through legal, compliance and regulatory affairs. Worktribe manages this with automated notifications and tracking to drive the approval process by email. Legal receive an email informing them that there is a new document that requires review; they click a link in the email to be taken directly to the relevant document on Worktribe. They review the document online in their web browser, add comments and then sign off or reject. The workflow process then continues to compliance and then to regulatory affairs, gathering all feedback. In the case of a reject, the process collects all feedback from all parties allowing all corrections to be made in one iteration. When the document is re-submitted, the system automatically picks up the previous workflow process and schedule, and applies version control to make it easy to compare changes.
